Listings and Closings

Listing  Coordination:


  • Review all signed listing documentation and assure all required signatures have been obtained. 
  • Send out for final signatures if any are missing
  • Schedule stager if applicable
  • Schedule photography 
  • Order for sale sign with agent’s preferred sign company
  • Input listing into the MLS and upload photos 
  • Attach required documents to the MLS listing such as disclosures, addenda, community declarations and covenants, etc.
  • Enter showing instructions into ShowingTime
  • Listing agent to approve MLS input before going live
  • Email seller copy of the listing once live
  • Submit all listing documents, disclosures and any other required documents to broker’s online compliance management software ensuring file is complete


Contract to Close:


  • Ensure contract and addenda is fully executed with proper dates, initials, signatures and reach out for corrections as necessary
  • Keep all parties informed - Introduction email will be sent providing transaction timeline and a copy of executed contract to Listing Agent, Buyers Agent, Buyer/Seller - (Your client as appropriate) Lender and Title Company
  • Ensure escrow has been wired and obtain copy of Escrow receipt
  • Track timeline dates to ensure all deadlines are met
  • Monitor appraisal timeline and loan commitment completion with the lender
  • Collect HOA documents and email to buyer agent (if on list side) or to buyer (if on buyer side)
  • Schedule Inspections with all parties, prepare addenda as needed and send for signatures
  • Ensure the Lender, Title Company, and Broker receive any amendments, extensions or changes to the contract
  • Follow up on Inspection repairs and receipts
  • Order Home Warranty per contract
  • Coordinate and confirm final walk-through
  • Request Alta from Title for review
  • Schedule closing appointment for client and agent with Title Company
  • Provide utility contact info and remind the buyer to transfer utilities
  • Coordinate Key transfer
  • Submit all required contract documents to compliance and follow through for Final approval and DA
  • Send DA to Title Company 
  • Upload Final Closing Statement and related documents to online transaction management service for final compliance
